Job Summary:
The Document Control Specialist is responsible for establishing and maintaining documentation standards, overseeing engineering change activities, and ensuring compliance across departments. This position administers the document control system, drives process improvements, and collaborates with engineering, quality, and operations leadership to support business and manufacturing goals. The role requires a blend of administrative decision-making and cross-functional coordination.
Responsibilities and Duties:
Documentation & Change Management Oversight
Collaborate with the Configuration Management Specialist team to create and track post release implementation actions for newly released revisions into production.
Maintain and organize physical and electronic documents to ensure easy retrievability, as well as maintain proper distribution, access, preservation, and retention.
Maintain company-wide documentation control standards
Evaluate approved documentation formatting, structure, and compliance alignment.
Analyze documentation and change control processes and recommend improvements to enhance accuracy, efficiency, and compliance.
Exercise independent judgment regarding documentation priorities, timelines, and change control requirements.
Provide guidance to engineering and operations leadership on documentation risks, process impacts, and readiness.
Develop and maintain policies governing documentation standards and change management procedures.
Lead cross-functional meetings to ensure timely completion of implementation actions.
Provide general administrative support to the Manufacturing Documentation team.
Analyze each project's quality standards that influence the various documentation requirements.
Monitor adherence to documentation requirements and conduct periodic audits.
Support internal and external audits by providing required documentation and demonstrating process compliance.
Maintain documentation accuracy and relevance throughout each production program’s lifecycle.
Act as liaison between the Change Control Board (CCB) and operational teams to communicate updates and action items.
Partner with the Configuration Management Specialist team to coordinate implementation and release of documentation changes.
Identify process improvement opportunities and lead cross-functional efforts to implement approved solutions.
Required Qualifications and Skills:
2–5 years of experience maintaining or administering a document control system or similar role.
Ability to read engineering drawings/documents and understand revision and configuration control principles.
Strong analytical, organizational, and written communication skills.
Proven ability to make independent decisions with minimal to moderate supervision.
Advanced proficiency with Microsoft Word, Excel, PowerPoint, and Visio.
Advanced document editing and formatting experience.
Understanding of mechanical and electrical processes related to product documentation.
Ability to manage multiple priorities and oversee complex documentation workflows.
Desired Qualifications and Skills:
Experience with Product Lifecycle Management (PLM) systems.
Experience with ERP platforms.
Experience developing documentation policies, standards, or audit procedures.
