Job Summary:
The Manufacturing Administrative Coordinator provides hands-on administrative and operational support to the Director of Manufacturing and the manufacturing leadership team. This role is responsible for coordinating schedules, documentation, reporting, and day-to-day administrative needs that support efficient manufacturing operations. The position works closely with cross-functional teams and spends time supporting activities on and adjacent to the manufacturing floor. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced manufacturing environment.
Duties and Responsibilities:
Provide administrative support to the Director of Manufacturing, including calendar coordination, meeting scheduling, and preparation of materials
Assist with preparing reports, presentations, meeting agendas, and tracking action items
Maintain organized electronic and physical files for manufacturing documentation, procedures, and records
Support internal communication by distributing information, updates, and follow-ups as needed
Support day-to-day manufacturing administrative needs, including coordination with production, engineering, quality, supply chain, and finance
Assist with tracking production schedules, labor reports, training records, and attendance documentation
Help manage and organize work orders, change documentation, and other manufacturing-related records
Provide administrative support on the shop floor as needed to assist leadership and production teams
Compile and update routine reports related to production metrics, staffing, and operational tracking
Perform data entry and validation in ERP, manufacturing, or tracking systems
Assist with gathering documentation for audits, reviews, and compliance activities
Coordinate meetings, take notes, and distribute follow-up items for manufacturing leadership and operational meetings
Assist with maintaining standard administrative processes and workflows
Identify opportunities to improve administrative efficiency and organization within manufacturing
Support implementation of new tools, templates, or tracking methods as directed
Required Qualifications and Skills:
High school diploma or equivalent required; associate’s degree preferred
3+ years of administrative or operations support experience in a manufacturing, production, or industrial environment
Strong organizational skills with the ability to manage multiple tasks and shifting priorities
Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint)
Strong attention to detail and follow-through
Ability to work effectively in a manufacturing environment, including time spent on the shop floor
Desired Qualifications and Skills:
Experience supporting manufacturing leadership or operations teams
Familiarity with production schedules, work orders, and manufacturing documentation
Experience working with ERP or manufacturing systems
